Booking Terms & Conditions

Booking Confirmation

A booking is considered confirmed once payment has been received and a confirmation email has been issued by Polar Iceland Trip.

All prices are quoted in Icelandic Króna (ISK) and are subject to availability at the time of booking.

Payment

Full payment is completed at the start of the tour unless paid prior.

For custom itineraries, private tours, or multi-day services, a deposit may be required to secure the reservation, with the remaining balance due before the tour departure date.

Cancellation Policy

Private Tours

Private tours are fully refundable if canceled more than 7 days before the scheduled departure time.

Cancellations made within 7 days of departure are non-refundable.

Shared Tours & Individual Seat Bookings

Shared tours and individual seat bookings are fully refundable if canceled more than 24 hours before the scheduled departure time.

Cancellations made within 24 hours of departure are non-refundable.

Weather & Safety Cancellations

The safety of our guests is our highest priority. Tours may occasionally be modified, postponed, or canceled due to severe weather, road closures, or other circumstances beyond our control.

If Polar Iceland Trip cancels a tour for safety reasons, guests will be offered either:

• A full refund, or
• The option to reschedule to another available date.

Amendments

We will do our best to accommodate changes to bookings whenever possible.

Any requested changes may be subject to availability and additional charges.

Requests for amendments should be submitted as early as possible by email.

No-Shows

Guests who fail to arrive at the agreed pickup location or departure point without prior notice will be considered a no-show and are not eligible for a refund.

Liability

Polar Iceland Trip accepts no responsibility for delays, changes, or interruptions caused by circumstances beyond our reasonable control, including but not limited to:

• Weather conditions
• Road closures
• Natural events
• Government restrictions
• Transportation disruptions

We reserve the right to alter itineraries when necessary to ensure guest safety and provide the best possible experience.

Travel Insurance

We strongly recommend that all travelers purchase comprehensive travel insurance covering trip cancellation, medical expenses, personal belongings, and travel disruptions.

Personal Belongings

Guests are responsible for their own personal belongings during the tour.

Polar Iceland Trip accepts no responsibility for lost, stolen, or damaged personal items.

Conduct & Vehicle Care

Guests are expected to behave respectfully toward drivers, guides, fellow passengers, and vehicles.

Smoking is strictly prohibited in all vehicles.

Any excessive cleaning, damage, or repair costs resulting from guest negligence may be charged to the responsible party.

Pickup & Departure Times

Guests are responsible for being ready at the designated pickup location at the agreed time.

Delays caused by late arrival may reduce tour time and may not be eligible for compensation or refund.

Governing Law

These terms and conditions are governed by the laws of Iceland.

Any disputes arising from services provided by Polar Iceland Trip shall be subject to the jurisdiction of the Icelandic courts.
