Vehicle Care & Guest Responsibility

Guests are expected to treat all vehicles with care and respect throughout the duration of the tour or transfer service.

Any damage caused to the vehicle, its interior, exterior, equipment, or accessories as a result of guest negligence, misuse, or intentional actions may be charged to the responsible guest.

Where additional cleaning is required due to excessive dirt, spills, stains, vomiting, smoking, or other conditions beyond normal use, Polar Iceland Trip reserves the right to charge a reasonable cleaning fee based on the actual cost incurred.

Guests may also be held responsible for any loss or damage to equipment provided during the tour, including child seats, charging cables, electronic devices, or other accessories.

Smoking and vaping are strictly prohibited in all vehicles.

 

Vehicle Care, Cleaning & Damage

Guests are responsible for any damage caused to vehicles, equipment, or accessories during the provision of services.

Polar Iceland Trip reserves the right to recover the cost of repairs, replacement, loss of use, and any associated expenses resulting from damage caused by guests.

Additional cleaning charges may apply where a vehicle requires cleaning beyond normal wear and use, including but not limited to spills, stains, excessive dirt, food waste, smoking, or other circumstances requiring special cleaning.

Any such charges will be based on the actual cost incurred by Polar Iceland Trip.

Weather & Itinerary Changes

Iceland's weather and road conditions can change rapidly. Polar Iceland Trip reserves the right to modify routes, schedules, pickup times, or tour itineraries when necessary to ensure the safety and comfort of our guests.

No refunds will be issued for itinerary changes caused by weather, road closures, natural events, government restrictions, or other circumstances beyond our reasonable control. Where possible, suitable alternatives will be offered.

Travel Insurance

We strongly recommend that all guests purchase comprehensive travel insurance covering trip cancellation, travel interruptions, medical expenses, personal injury, and loss or damage to personal belongings.

Passports & Travel Documents

Guests are responsible for ensuring that they possess valid passports, visas, and any other travel documentation required for entry into Iceland.

Polar Iceland Trip accepts no responsibility for travel disruptions resulting from incomplete or invalid travel documentation.

Personal Belongings

Guests are solely responsible for their personal belongings during tours and transfers.

Polar Iceland Trip accepts no responsibility for lost, stolen, or damaged luggage, equipment, or personal items.

Vehicle Conduct & Damage

Smoking, vaping, and the consumption of illegal substances are strictly prohibited in all vehicles.

Guests are expected to behave respectfully toward drivers, guides, fellow passengers, and vehicles.

Any damage, excessive cleaning, or repair costs resulting from guest negligence or misconduct may be charged to the responsible guest.

Pickup Times & No-Shows

Guests are responsible for being ready at the agreed pickup location at the scheduled time.

Failure to appear at the designated pickup location without prior notice will be considered a no-show and will not be eligible for a refund.

Delays

Polar Iceland Trip accepts no responsibility for delays caused by weather conditions, traffic, road closures, ferry schedules, airline delays, accidents, or other circumstances beyond our control.

Custom Tours & Private Driver Services

For customized itineraries and private driver services, Polar Iceland Trip reserves the right to determine the most suitable route, timing, and operational arrangements unless otherwise agreed in writing.

A standard full day of private guiding and driving service consists of up to 10 hours. Additional hours may be subject to supplementary charges.

Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Iceland.

Any disputes arising from services provided by Polar Iceland Trip shall be subject to the exclusive jurisdiction of the Icelandic courts.
